In this video, you’ll explore the foundation of account creation in Totango. Major topics include rapid insight forms and bulk updates.

The foundational object within Totango is an account. You can learn more about how to model your customer data in other videos, but for purposes of learning how to bring account (and other related) data into your Totango instance, we’ll first look at the simplest way: Adding a new account in the app via data entry.

The option to add a new account is available from the quick actions menu, whenever you are currently viewing the My Portfolio page. Global Admins always see this menu item, but you can restrict this option in User Management > Application Permissions for other users–especially if you plan to only bring in account data from other systems.

Note that Totango gives me a form to make data entry easier. I see which attributes for this object are required–namely Account ID, Name, and Account Type, and which attributes are also most commonly used for this object–Status, Contract Value and Start and Renewal Dates. This form is known as a “Rapid Insights form”, and as an Admin, you can customize it to remove or add other attributes that you want to collect during account creation. You can choose from any of the attributes in your Data Model; learn more about adding new or custom attributes in other videos.

Once you add an account, this object is represented in what we call the account profile. You can edit data directly from this view, depending on whether the particular attribute is marked as “editable” from within the Data Modeler. You can also make bulk edits to data from within the Segment view for Account and User objects, so you can set or clear attribute values for a group of records all at once.
